Vacation Pay

TRIGO, The PIC Group is seeking to fill a Operations Administrator position in St. Thomas, ON.  

Primary areas of responsibility include (but not limited to):

  • Report to the Program Manager.    
  • Follows up to ensure contact information is correct for billing.
  • Ensure a high level of customer service.
  • Respond to and appropriately redirect all incoming emails from the customer
  • May track POs for ongoing contracts.
  • May maintain and code Grainger receipts
  • Perform administrative, secretarial and clerical duties.
  • May record, prepare and distribute meeting agendas, minutes and related materials ensuring accuracy.
  • Complies with relevant local health and safety legislation.
  • Supports Company Health and Safety Policies.
  • May maintain contract logs including comparison log to ensure goal of improving percentage of purchase orders received is met.
  • May escalate to Lead Hands all jobs when the required documents are not received within 24 hours of start of job if job is ongoing (1st escalation report).  Escalate all jobs to 3CPR Supervisor when the required documents are not received within 48 hours of the start of the job if the job is ongoing (2nd escalation report).
  • May maintain detailed journal of ongoing follow-up work done to gain necessary documentation.
  • May electronically store all job required documents (work authorization forms, contracts, purchase orders and all customer-signed documents according to PIC filing conventions.
  • May perform audit on all electronic job files to ensure the required documents have been stored correctly by all departments.
  • May escalate missing file requirements for Yard Supervisor.
  • May prepare payroll package for approval.


Qualifications and mandatory skills include:

  • Secondary school diploma is an asset.
  • Previous experience in staffing, recruiting and interviewing and asset.
  • Working knowledge of the automotive/manufacturing industry.
  • Experience with quality systems or quality training an asset.
  • Proficient in MS Word, Excel, Access and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to coordinate, prioritize and multitask.
  • Demonstrated flexibility within a fast-paced challenging environment.
  • Ability to take initiative and recognize needs.
